Firewalk Experience Terms and Conditions

When you book a Firewalk Experience with us, here’s what you’re committing to; this makes sure everything runs smoothly and everyone stays safe:

1. Venue & Location Requirements

To deliver the immersive, transformative experience you expect, you (the client) will provide a venue that meets the following:

  • Indoor Workshop Space: a private indoor area, set up in theatre style, with enough room for all confirmed participants.
  • Close Firewalk Area: an outdoor fire site ideally just 2–3 minutes’ walk from the workshop space.
  • Flat Surface & Safety Perimeter: the fire site must be level and allow a secured radius of 5 metres (16 ft) around the fire.
  • Clear Surroundings: no flammable objects (trees, bushes, sheds, vehicles, etc.) within the safety perimeter.
  • Water Access: a hose connection or outdoor tap within 50 metres (130 ft) of the fire site. If you can’t meet that, please let us know at least 14 days before the event.
  • Vehicle Access: access to the fire site by vehicle at least 2 hours before the event starts, and for 1 hour after it ends (unless agreed otherwise).
  • We may make additional reasonable requests about your venue setup to ensure safety and enhance the event experience.

2. Booking, Deposit & Payment

  • Your deposit locks in the date and creates a binding agreement. Once a date is confirmed, that deposit is non-refundable.
  • If you get in touch 28 days or more before the event, we may allow one date change, at our discretion.
  • Within 28 days of the event, the date becomes non-transferable. If you cancel during that period, the deposit will be retained to cover costs.
  • The remaining balance must be paid at least 14 days before the event date. If payment isn’t received, we may cancel, without penalty to The Firewalk Experience.
  • Cancellations made within 14 days are not eligible for any refund.
  • If you request a date change (where possible), we may deduct costs we’ve already incurred. Any new date change is conditional on you sticking to the original payment schedule.

3. Unavoidable Circumstances (Force Majeure)

If circumstances beyond our control prevent us from delivering the event, it is agreed that we are not responsible for failing to meet our obligations. This includes things like natural disasters, war, terrorism, government actions, strikes, power failures, vehicle breakdowns, transportation stoppages or delays or other similar events.

If we invoke Force Majeure, we reserve the right to cancel the event or offer alternative activities, at our discretion. If we cancel due to Force Majeure we will offer a full refund of alternative date or dates for a future Firewalk Experience.

We would only ever invoke Force Majeure in circumstances where an event had become impossible to deliver.

4. Final Delegate Numbers

  • You must confirm the final number of attendees at least 24 hours before the event starts.
  • If your numbers will exceed the agreed maximum, you must let us know no later than 14 days prior to the event.

5. Venue Costs & Expenses

You, the client, are fully responsible for all costs associated with the venue hiring, preparation, facilities, etc. The Firewalk Experience does not cover any of those expenses.
